We're hiring the human layer around our AI.
AIAI Mastermind helps insurance agency owners across the US automate their businesses with AI. Our team is small, fully remote, and AI-augmented. We're scaling from 34 members to 200+ by end of 2026, and the next hire is the person who keeps that experience exceptional as we grow.
This is not a virtual-assistant role. The AI handles the routine. You handle the moments that need a human, and you make sure the AI is doing its job well. You'll be the front-line face of our brand for every member, and the human partner to the AI agent that supports our founder.
Who you'll be working with
You'll report directly to Phillip Ngo, our founder. He's a former insurance agent who built AIAI Mastermind to help other agency owners use AI the way he did. Phillip is a creator and a builder. He moves fast, hates incompetence and laziness, and doesn't have patience for hand-holding or slow execution.
He'll spend most of his week building. You'll spend most of yours making sure members feel cared for and his world keeps running. He values people who are dedicated, resourceful, generous, and have great common sense. He'll trust you the moment you show him you can take an outcome and run with it.
Who we're looking for
- You have 2+ years of customer success or client-success experience working directly with American clients.
- You're self-managed. You see the outcome, work backwards to figure out the steps, and execute. Nobody has to drive you.
- Your written and spoken English is exceptional. Members judge our brand by every reply you send.
- You have high EQ. You read between the lines of an email. You know when to sit with a frustrated member and when to push them gently forward.
- You're confident on camera. You'll co-host our weekly live coaching call, monthly workshops, and quarterly events.
- You're genuinely curious about AI. You already use ChatGPT or Claude on Saturdays to make your work better.
- You spot patterns, not just incidents, and bring them up with a proposed fix.
- You're fast on a computer and quick on your feet. Keyboard-first. Tabs and shortcuts over mouse-clicks. You think and respond at the pace of the work, not behind it.
What you'll be doing
Client Success Manager · about 70%
- Handle every member email, text, and portal message with warmth and speed
- Walk new members through their first 14 days so they get an early win
- Co-host the weekly live coaching call and monthly workshops
- Host our paid live events (8 per year) and quarterly member events (4 per year)
- Watch member health: who's engaged, who's drifting, who needs a personal nudge
- Reconcile billing weekly between Stripe and our CRM
Semi-Executive Assistant · about 30%
- Work alongside the AI agent that manages Phillip's email and calendar
- Spot-check what the AI does, catch what it gets wrong, flag patterns
- Step in for the human moments where the AI shouldn't be the one replying
- Keep his schedule clean, his inbox under control, and his focus protected
If this isn't you, save your time
We're not hiring an entry-level person, an order-taker, or someone who needs a playbook for every situation. If any of these describe you, this role isn't a fit:
- You want to be told exactly what to do every day
- You're uncomfortable on camera or hosting live calls
- You can't commit to US Pacific business hours (8 AM-5 PM PT, which is roughly 11 PM-8 AM in Manila)
- You're nervous around AI tools or believe AI will replace you
- You see customer service as transactional, not relational
- You're slow on a computer or take your time getting back to people
What it pays
- $1,200-$2,000 USD per month, full-time. Starting salary depends on experience. We're paying at the high end of this market for the right person.
- Performance bonuses tied to member retention, onboarding completion, and billing accuracy.
- Growth path. As we scale from 34 to 200+ members this year, this role grows into team leadership for the right person.
- All tools provided: Google Workspace, GHL, Stripe, Notion, AI subscriptions.
